Leader

  • As you receive the names of kids who are signing up, begin praying for them. Add their names to your group’s attendance chart.
  • Send “You’re Invited” postcards (Item #6723) to former club members and potential new ones, inviting them to club.
  • Meet with your coordinator to plan the year’s goals and annual calendar.
  • Meet with your co-leader to get acquainted and talk about the division of responsibilities. Become familiar with the leader planbook and kids handbook. Decide on any theme nights.
  • Begin gathering supplies needed. Review the catalog and let your coordinator know what supplies need to be ordered.
  • Work with your coordinator to plan your Club Kick-off.

Coordinator

  • Order How to Run & Promote a Successful Pioneer Clubs Program (Item #2701) for hundreds of ideas on how to plan and get the word out about Pioneer Clubs.
  • Connect with leaders and order club materials at 800.694.2582 or Pioneer Clubs Online Shop.
  • Work with the person responsible for your church’s website to update or create a Pioneer Clubs page on the church’s website.
  • Contact your church office and ask that your Pioneer Clubs’ ministry be added to the church’s prayer list.
  • Recruit additional staff. Have them fill out a volunteer application and run a background check if needed.
  • Start thinking about special events or projects for the upcoming holidays. Use the sample club calendar for suggestions.
  • Two to three weeks before club starts, email a news release to local newspapers and TV/radio stations.
  • Ask your pastor to dedicate club leaders during a worship service.
  • Call or email your club leaders to see how their planning is going.
  • Map out your Pal recruitment plans. Begin recruiting. See Making Your Pal Program Work (Item #2600) for information.
  • Have parents fill out club member registration forms and photo release forms before club starts.
  • Communicate with families to encourage them to invite their friends and neighbors to club. Use bulletin handouts, Facebook posts, Twitter, email messages, postcards, and more!
  • Hang an outdoor banner inviting families from your community to participate and join your club. Use the generic Outdoor Banner (Item #6700) or DELTA Outdoor Banner (Item #6703).
  • Work with your leaders to plan your Club Kick-off.
